Before You Automate Anything in Cloze, Build This First
Oct 06, 2026
When agents start with Cloze, the first thing they usually want is automation. Set it up once, let it run, and never miss a follow-up again.
I understand the appeal. But automations can only follow the structure you give them. Without that structure, they don't create consistency. They create noise.
The agents who get the most from Cloze aren't the most disciplined. They simply built their foundation first. It comes down to one idea: relationships first, workflows second.
Start with the people you actually talk to
It's tempting to import every contact you've ever had and sort it out later. That's usually where the overwhelm begins.
Instead, start with your real relationships. Fifty people you genuinely stay in touch with will serve you far better than two thousand you don't. Organize them well, and you'll see the value of your CRM right away.
Build one simple habit
Cloze already captures your texts automatically. Phone calls don't record themselves. So build one habit first: after each call, log a quick note.
It sounds small, and it is. But that one habit keeps your system alive. The next time you reach out, you'll remember exactly where you left off, and your clients will feel it.
Then give it time. A real system takes about 90 days to feel natural, not a weekend. The small wins in the first few weeks are what carry you through.
The five pieces to build first
Once your relationships and your daily habit are in place, there are five areas that turn Cloze into a system that works for you:
- Contact organization and tagging
- Relationship stages, not just pipelines
- Checklists for the steps you repeat with every client
- Email templates inside your tasks
- Your Agenda as the place you start each day
Build them in order. Each one makes the next one work.

If you've tried a CRM before and found yourself drifting away after a few weeks, you're not alone. I wrote about why that happens in "Why Most Real Estate Agents Quit Their CRM After 30 Days".
